What is ODMS Cloud?

ODMS Cloud is the latest dictation and transcription management solution from OM System.

Built and hosted with Microsoft Azure, ODMS Cloud is a cloud-based dictation workflow system that allows you to share dictation files between authors and transcriptionists anytime, anywhere. Your files are now stored on the cloud, which means a dedicated server is no longer required, and setup is easy to get started.

·         Simple – easy to use; access via the browser - so Mac and Windows compatible and accessible from anywhere (internet connection required). No need to install software.

·         Secure - HTTPS protocol with two-factor authentication to log in.

·         Instant - new audio files, uploaded from dictaphones or sent from included smartphone app, are instantly available across all your devices, keeping you in perfect sync. Dictation uploaded by authors and the status of transcriptions from the typists are available to all, instantly.

·         Subscription based – authors and transcriptionists require 12-month subscription. Minimum of one author and one transcriptionist to set up an account.

·         Smartphone dictation app included with author subscription. Dictate on the phone and send straight to your ODMS Cloud account.

·         Always up to date - enjoy a seamlessly updated experience. New features are regularly integrated into the system, no need to install patches or reinstall software, new updates are available instantly and to all.

·         Workflow Setup – configured within the portal. Transcription group configuration possible for multiple authors and/or multiple transcriptionists; ability to assign tasks based on author or a combination of author and work type.

·         Auto download/upload from OM System DS-9100, DS-2700, Olympus DS-9500, DS-8000, DS-2600, DS-7000, DS-3500, DS-5000, DS-3400 and Philips DPM8000.

·         Compatible foot pedals for transcriptionists – RS-28H, RS-31H, RS-28N, RS-31N

·     ODMS Cloud Desktop App – installed on the computer and runs in the background to enable hardware connection to ODMS Cloud, for upload of files from dictaphone and playback with a foot pedal for transcriptionists.

·         ODMS Cloud Reference Manual - available from the Support tab within your ODMS Cloud account - is regularly updated and is a great resource.

* New feature - authors can now export dictations from ODMS Cloud account to save to local computer. This is useful if you do not use an inhouse typist, who has an ODMS Cloud subscription, but want to send your dictations to a transcription company.

How secure is OM System ODMS Cloud?

·         Security is the top priority for both you and your business.

·         End-to-end encryption across all devices.

·         The web platform operates on HTTPS, encrypting data exchanged between browsers and the website, ensuring protection against tampering or interception by malicious parties.

·         Choose to upload files pre-encrypted at 256-BIT AES for added security.

·         ODMS Cloud is built and hosted with the Microsoft Azure cloud computing platform.

·         Your data will be stored within your region (USA, Europe or Australia).

Not only is security paramount but this means that there is no need to purchase or maintain additional local storage for your business environment. For added piece of mind, you have the option to download and back up all your audio files to local storage at any time, at the push of a button.

OM System ODMS Cloud now has Background Speech Recognition

·         Files uploaded to ODMS Cloud account from DS Series Recorders or the ODMS Cloud smartphone Dictation App are automatically converted into text using AI Speech Recognition, based on your workflow settings.

·         There must be a transcriptionist registered with the account to enable the Speech Recognition to be configured into the workflow.

·         High accuracy is ensured with Speech-to-Text conversion powered by Microsoft Azure AI.

·      Text Correction Window allows transcriptionists to easily proofread and finalize documents with greater accuracy and efficiency.

·         Enjoy unlimited use of Speech Recognition with an annual subscription.

·         The ODMS Cloud speech recognition solution automatically converts dictation files uploaded from your device or app. If the author has a speech recognition license and the routing rules set by the user designate those files for transcription, they will be processed with speech recognition for fast, accurate results.

·         The ODMS Cloud background speech recognition goes beyond transcription—it inserts results directly into your custom document templates. Whether you’re creating patient reports or legal briefs, transcriptionists save time and reduce errors by working within pre-formatted, industry-specific layouts.

·         The ODMS Cloud background speech recognition uses advanced AI to automatically insert punctuation like periods and commas—no need to say “full stop” or “comma” as with traditional systems. This makes dictation feel natural and effortless, saving time and reducing the mental load on transcriptionists and professionals alike.

*   The Auto Punctuation setting can be enabled or disabled individually for each Routing Rule.

·         Seamless transcription is available in English, German, French, and Spanish. English is available in three distinct accents—US, UK, and Australian/New Zealand—ensuring accurate results no matter your location or preference.

There is an additional cost for the ODMS Cloud licence with Speech Recognition.
